This article covers day-to-day user management: changing roles, removing access and helping people who forgot their password. To add someone new, see Invite your team.

Who it's for#

Org Admins. People with the User role can only change their own profile and password.

Before you start#

  • Sign in at dashboard.sermonwave.com with an Org Admin login.
  • Open Manage in the top menu. The Users tab lists everyone at your church with their Name, Email, Username, Role, Status and Last Active time. Use Search users... to find someone quickly.

The roles#

Change someone's role or details#

  1. In the Users list, click the edit (pencil) button on the person's row.
  2. Change their First Name, Last Name, Email, Phone, Username or Role.
  3. Click Save.

Device and billing rights change right away. Other screens may only reflect the new role after the person signs out and back in.

Remove someone's access#

SermonWave doesn't delete users. You deactivate them instead, which keeps your history intact.

  1. Click Deactivate on the person's row.
  2. Confirm. They can no longer sign in.

The person stays in the list with an Inactive badge. To give access back, click Activate.

Reset a password for someone#

Use this when a team member is locked out and needs to get back in quickly.

  1. Click Reset Password on their row.
  2. Confirm. A new Temporary Password appears.
  3. Send it to them privately. Their old password stops working right away.
  4. Ask them to change it after signing in, under Profile → Change Password.

You can only reset passwords for active users.

Forgot your own password#

Anyone can reset their own password without an admin:

  1. On the sign-in page, click Forgot your password?
  2. Enter your Username and click Reset Password.
  3. Open the email and click Reset Password. The link works for 1 hour.
  4. Enter a New Password, type it again under Confirm Password, and click Reset Password.

Only one reset email is sent per hour. Check your junk or spam folder before trying again.

Change your own password or profile#

  1. Open the profile menu at the top right and choose Profile.
  2. Update your First Name, Last Name, Email or Profile Photo, then click Save Profile.
  3. To change your password, enter your Current Password and a New Password, then click Change Password.

Language, light or dark theme, and timezone are personal too. Find them under Settings. See Organization settings.

Troubleshooting#

"You cannot deactivate your own account." Another Org Admin has to do it.

"You cannot edit admin users." Accounts with the Admin badge belong to the SermonWave team. Contact support if you have a question about one.

"Username already taken" or "Email already in use". Each username and email can belong to only one SermonWave login, even at another church. Pick a different one.

The only Org Admin left the church. Contact support from your church's email so we can help you regain access. To avoid this, keep at least two Org Admins.

A user sees "You do not have permission to manage users." That's expected for the User role. The Manage screen is for Org Admins.

FAQ#

Can I permanently delete a user?#

Not from the dashboard. Deactivating removes their access. Contact support if you need a login removed completely.

No. Events, recordings and links belong to the church, not to the person.

Can we have more than one Org Admin?#

Yes, as many as you like. We recommend at least two.
